But it\u2019s easier than you think to pair AI with RPA to get a desirable combination \u2014 just like a chocolate peanut butter cup.<\/h2>\n<hr \/>\n<p style=\"font-weight: 400;\">In recent years, <a href=\"https:\/\/centricconsulting.com\/business-consulting\/operational-excellence-consulting\/robotic-process-automation-consulting\/\">robotic process automation<\/a> (RPA) has become mainstream, enabling organizations to free their staff from rote, manual processing. At the same time, machine learning (ML) and artificial intelligence (AI) have become more accessible with the advent of off-the-shelf tools, low-code environments, and simplified frameworks. Today, the term \u201cAI\u201d commonly includes generative AI, which adds the power to create new information based on existing patterns in large datasets.<\/p>\n<p style=\"font-weight: 400;\">Each of these technologies is independently reshaping the way businesses operate and compete. Blending them together can have even greater impacts. The resulting capability comprises some of what\u2019s called intelligent process automation (sometimes called <a href=\"https:\/\/centricconsulting.com\/business-consulting\/operational-excellence-consulting\/hyperautomation-consulting-services\/\" target=\"_blank\" rel=\"noopener\">hyperautomation<\/a>).<\/p>\n<p style=\"font-weight: 400;\"><strong>That sounds amazing, but it\u2019s not always clear what intelligent process automation means or how to combine RPA and AI into high-impact, fully automated solutions.<\/strong> In some cases, organizations have launched an RPA program but struggled to incorporate more advanced functionality.<\/p>\n<p style=\"font-weight: 400;\">So, how do you get from RPA to AI and beyond?<\/p>\n<h2 style=\"font-weight: 400;\">The Peanut Butter Cup Analogy for Intelligent Process Automation<\/h2>\n<p style=\"font-weight: 400;\">RPA and AI have a lot in common, like:<\/p>\n<ul>\n<li style=\"font-weight: 400;\">Mimicking human activities<\/li>\n<li style=\"font-weight: 400;\">Automating manual, repetitive tasks<\/li>\n<li style=\"font-weight: 400;\">Reducing the number of human touchpoints in a process<\/li>\n<li style=\"font-weight: 400;\">Increasing processing speed and accuracy<\/li>\n<\/ul>\n<p style=\"font-weight: 400;\">That said, they also work in distinct ways to solve different challenges. RPA excels at simple, structured, and objective tasks. AI is meant for subjectivity, decision-making, and unstructured actions. In fact, the beauty of these two tools in concert is how well they complement each other toward a common goal.<\/p>\n<p style=\"font-weight: 400;\">But what does this have to do with peanut butter cups? Consider the key ingredients: chocolate and peanut butter. Both are delicious on their own, but for different reasons. The combination is tasty, immensely popular, and preferred by most to either of the individual components. I think you see where this is going.<\/p>\n<p style=\"font-weight: 400;\"><a href=\"https:\/\/www.forrester.com\/blogs\/will-rpa-platforms-remain-relevant-ai-agents-may-hold-the-answer\/\" target=\"_blank\" rel=\"noopener\">RPA plus AI<\/a> is the peanut butter cup of process automation. <strong>Instead of addressing parts of a process with a particular tool, you combine tools to automate more of the process and get closer to no-touch, end-to-end automation.<\/strong> Not only do more steps get automated, but RPA and AI help enable each other to integrate more seamlessly. In other words, the result is greater than the sum of its parts.<\/p>\n<h2 style=\"font-weight: 400;\">A Practical Example of Intelligent Process Automation<\/h2>\n<p style=\"font-weight: 400;\">To help demonstrate, let\u2019s consider a hypothetical, real-world process and show how it <a href=\"https:\/\/centricconsulting.com\/blog\/rpa-paired-with-ai-opens-up-a-new-world-of-automation\/\">progresses with automation<\/a>.<\/p>\n<p style=\"font-weight: 400;\">Let&#8217;s say, our finance department receives invoices from vendors that we need to capture and enter into our <a href=\"https:\/\/centricconsulting.com\/technology-solutions\/enterprise-resource-planning\/\">enterprise resource planning<\/a> (ERP) system and process. The invoices are always PDF files but don\u2019t have a consistent format or data and may be scanned or handwritten. With so much variation in the data and presentation, traditional integration isn\u2019t possible. We must manually view each file and then hand-key them into our mundane, time-consuming, and inefficient system. We can do better!<\/p>\n<h3 style=\"font-weight: 400;\">RPA: Start with the Basics<\/h3>\n<p style=\"font-weight: 400;\">RPA is often the easiest and most accessible entry point for automation. The <a href=\"https:\/\/centricconsulting.com\/blog\/citizen-developer-tools-on-the-power-platform\/\">tools are low-code<\/a> and can provide quick wins at low cost for straightforward use cases. Often called bots, these applications can monitor systems, help search engines crawl websites, interact with customers (chatbots), and more.<\/p>\n<p style=\"font-weight: 400;\"><strong>RPA can also activate AI by, for example, passing data directly to AI services that make decisions and receive structured decisions or outputs to automate further tactical steps.<\/strong> Consider it an ideal starting point and foundation for building towards intelligent process automation.<\/p>\n<p style=\"font-weight: 400;\">In our example process, we use RPA to automatically receive vendor emails, download attachments, and associate those files with the right vendor accounts in our system using the sender\u2019s email address. The RPA solution even creates work items and generates notifications for users so they can promptly respond.<\/p>\n<h3 style=\"font-weight: 400;\">Off-the-Shelf AI<\/h3>\n<p style=\"font-weight: 400;\"><a href=\"https:\/\/centricconsulting.com\/blog\/machine-learning-101-part-1-what-are-machine-learning-and-artificial-intelligence\/\">Getting started with AI and ML<\/a> is probably easier than you think. Chances are you\u2019re already taking advantage of them. Optical character recognition (OCR), where an AI model can read and digitize scanned or handwritten text, is but one ubiquitous example.<\/p>\n<p style=\"font-weight: 400;\">A growing library of prepackaged \u201cskills\u201d is available to add a la carte to your automation. Examples include reading receipts, translating text from one language to another, and determining a message&#8217;s sentiment. <strong>Besides the obvious benefit of quick implementation, these out-of-the-box services are often proven models that work with a higher degree of accuracy.<\/strong><\/p>\n<p style=\"font-weight: 400;\">Incorporating this type of AI, our bot gets two new features \u2013 an intelligent OCR model that digitizes PDF text and an invoice extraction model that reads standard data from known invoice elements (like date, amount and remittance contacts). The <a href=\"https:\/\/centricconsulting.com\/blog\/what-to-consider-when-implementing-robotics-in-workplace\/\">RPA<\/a> runs these features on-demand and uses the output for more precise data entry. As a result, the data now populated in our ERP isn\u2019t simply a document to review but structured data auto-populated in certain fields.<\/p>\n<h3 style=\"font-weight: 400;\">Tailored Models to Fit Your Business<\/h3>\n<p style=\"font-weight: 400;\">As you fold <a href=\"https:\/\/centricconsulting.com\/blog\/the-role-of-ai-in-streamlining-business-processes\/\">AI into your automated processes<\/a>, you\u2019re likely to find opportunities where off-the-shelf solutions don\u2019t suffice. For example, our invoice process might need to extract a vendor ID or PO number from each PDF document in addition to the standard invoice fields.<\/p>\n<p style=\"font-weight: 400;\">When a basic AI service won\u2019t work, the solution may be \u201ctunable\u201d AI. These services still use pre-built models, so you don\u2019t have to start from scratch, but they allow you to train those models on your specific data and business rules. Training is often simple enough for non-technical users, and the result is AI that\u2019s custom fit but still relatively easy to create.<\/p>\n<p style=\"font-weight: 400;\">Using this capability, a tunable intelligent document processing (IDP) model can extract the vendor ID and PO number from each invoice on top of the standard data already being captured. For some clients, we are now combining IDP models with optical character recognition and generative AI to capture even unstructured data, such as handwritten information.<\/p>\n<p style=\"font-weight: 400;\"><strong>With such tools, our automated process captures all the data our system needs and enters it directly into the ERP.<\/strong> The Finance team needs to validate and approve the entered data for processing.<\/p>\n<h2 style=\"font-weight: 400;\">To Infinity and Beyond<\/h2>\n<p style=\"font-weight: 400;\">From here, there are more capabilities to incorporate into a fully operational intelligent process automation practice. For example, we could add:<\/p>\n<ul>\n<li style=\"font-weight: 400;\">A customized ML model to assess the risk an invoice poses and decide to pay it automatically<\/li>\n<li style=\"font-weight: 400;\">Process mining to track process execution and identify bottlenecks with hard data<\/li>\n<li style=\"font-weight: 400;\">Advanced reporting to show the value of automation and reinforce improvements<\/li>\n<\/ul>\n<p style=\"font-weight: 400;\">All of these contribute to an automation capability that incorporates AI and injects automation and intelligence into every phase of the automation program. Of course, the barrier to entry can increase when adding more advanced features, making the road to intelligent process automation \u2014 which so far has been relatively flat \u2014 steeper.<\/p>\n<p style=\"font-weight: 400;\"><strong>Ultimately, though, the journey is more important than the destination. Intelligent process automation need not be an all-or-nothing proposition, given that you can achieve operational gains every step of the way.<\/strong> Instead, understand which tools to incorporate in what order and build your capabilities in a more natural way.<\/p>\n<p style=\"font-weight: 400;\">As our example showed, RPA automation that uses off-the-shelf AI models is still really powerful.
