Instead of going in circles, managing crises, or addressing marginal issues, these frameworks focus on changes that will drive substantial outcomes.<\/p>\n<p style=\"font-weight: 400;\">Two particularly powerful process improvement tools are Lean Six Sigma\u2019s 5 Whys and JDI projects methods. Let\u2019s explore what each method entails and how to use them to improve your processes.<\/p>\n<h2 style=\"font-weight: 400;\">The 5 Whys<\/h2>\n<p style=\"font-weight: 400;\">The 5 Whys is a method in which you ask \u201cwhy\u201d five times to uncover root causes of process challenges. This helps you identify an opportunity for improvement.<\/p>\n<p style=\"font-weight: 400;\">Here\u2019s what that might look like in practice:<\/p>\n<ul>\n<li style=\"font-weight: 400;\">Project deadlines are continually missed. Why?<\/li>\n<li style=\"font-weight: 400;\">Teams don\u2019t receive the deliverables on time. Why?<\/li>\n<li style=\"font-weight: 400;\">The marketing team is understaffed, so one person is handling the work of corporate, social, and paid marketing. Why?<\/li>\n<li style=\"font-weight: 400;\">Everyone is too busy to hire a new marketing coordinator. Why?<\/li>\n<li style=\"font-weight: 400;\">Hiring takes too long and is too time-consuming.<\/li>\n<\/ul>\n<p style=\"font-weight: 400;\">As you can see, answering these questions starts to reveal the root cause of the problem. The initial gut reaction might have been to hire more senior project managers or change the project process. However, by repeatedly asking why, you can unveil that the true answer in our example is actually a broken hiring process and an understaffed marketing team. The problem doesn\u2019t reside in project management.<\/p>\n<p style=\"font-weight: 400;\"><strong>With the 5 Whys, teams can focus their time and resources on the root cause instead of surface-level fixes.<\/strong> This resolves the issue for good, unlocks more efficient workflows, and drives better outcomes.<\/p>\n<p style=\"font-weight: 400;\">Even if you don\u2019t want to specifically ask \u201cwhy,\u201d answer the following questions to challenge assumptions and uncover opportunities.<\/p>\n<ul>\n<li style=\"font-weight: 400;\">Does this process add value?<\/li>\n<li style=\"font-weight: 400;\">How can we improve the process to have a greater impact?<\/li>\n<li style=\"font-weight: 400;\">Who should we include on the process improvement team?<\/li>\n<li style=\"font-weight: 400;\">What tools, technology, or other resources can we leverage to improve this process?<\/li>\n<li style=\"font-weight: 400;\">Does this process help meet the organizational mission and goals?<\/li>\n<\/ul>\n<h2 style=\"font-weight: 400;\">Just Do It Projects<\/h2>\n<p style=\"font-weight: 400;\">Just Do It projects are simple, straightforward improvements to everyday issues that you can make quickly. They\u2019re great for quick wins and problems where there\u2019s a clear solution.<\/p>\n<p style=\"font-weight: 400;\">\u201cJDI projects are best for fixing a known issue without extensive analysis, data collection, or cross-functional coordination,\u201d Johnston says.<\/p>\n<p style=\"font-weight: 400;\">It\u2019s often the simplest option for problems that:<\/p>\n<ul>\n<li style=\"font-weight: 400;\">Are within the control of the team or the individual<\/li>\n<li style=\"font-weight: 400;\">Have minimal cost or risk<\/li>\n<li style=\"font-weight: 400;\">Require no formal project or root cause analysis<\/li>\n<\/ul>\n<p style=\"font-weight: 400;\">If the solution is quick to implement and the root cause is well understood, then JDI implements fast fixes. <strong>Teams can quickly use their small wins to provide momentum for bigger issues.<\/strong> However, JDI is not a good problem-solving candidate when:<\/p>\n<ul>\n<li style=\"font-weight: 400;\">The problem is complex or recurring without a clear root cause.<\/li>\n<li style=\"font-weight: 400;\">Multiple teams or systems are involved.<\/li>\n<li style=\"font-weight: 400;\">The solution could cause downstream impacts.<\/li>\n<li style=\"font-weight: 400;\">Metrics and baseline performance are unknown.<\/li>\n<li style=\"font-weight: 400;\">Regulatory, safety, or compliance risks are involved.<\/li>\n<\/ul>\n<p style=\"font-weight: 400;\">Now that you understand the basics of these core business process improvement tools, let\u2019s discuss potential challenges in identifying these opportunities for improvement.<\/p>\n<h2 style=\"font-weight: 400;\">Common Challenges in Identifying Process Improvement Opportunities<\/h2>\n<p style=\"font-weight: 400;\">According to Johnston, businesses struggle to identify process improvement opportunities for various reasons. Sometimes, the struggle to identify opportunities is a case of \u201cyou don\u2019t know what you don\u2019t know.\u201d At other times, it\u2019s cultural resistance or teams that default to reactive firefighting mindsets.<\/p>\n<p style=\"font-weight: 400;\">Or it may simply be a case of phrasing the problem too broadly.<\/p>\n<p style=\"font-weight: 400;\"><strong>For example, when leaders and employees at one Centric Consulting client were struggling to identify improvement areas, we shifted our focus from \u201cWhere can you improve?\u201d to questions like \u201cWhat takes too long? What parts of the process make you feel like there must be a better way?\u201d<\/strong><\/p>\n<p style=\"font-weight: 400;\">These questions got them thinking about more specific, day-to-day frustrations, and the group became excited about discussing them. Within 30 minutes, we had 50 ideas that we could then validate and rank to create a process improvement opportunity backlog.<\/p>\n<p style=\"font-weight: 400;\">Other common challenges to identifying process improvement opportunities include:<\/p>\n<h3 style=\"font-weight: 400;\">Lack of Visibility<\/h3>\n<p style=\"font-weight: 400;\">Processes are undocumented or not standardized, making issues hard to identify. This might lead to confusion, missed goals, or misalignment.<\/p>\n<ul>\n<li style=\"font-weight: 400;\"><strong>How to overcome:<\/strong> Map current-state processes using tools like SIPOC, value stream mapping, or swimlane diagrams to expose inefficiencies.<\/li>\n<\/ul>\n<h3 style=\"font-weight: 400;\">Fragmented Data<\/h3>\n<p style=\"font-weight: 400;\">Metrics are inconsistent, siloed, or unavailable, making it difficult to track goals and measure progress.<\/p>\n<ul>\n<li style=\"font-weight: 400;\"><strong>How to overcome:<\/strong> Establish centralized, process-level key performance indicators (KPIs) and implement dashboards to track performance trends and bottlenecks.<\/li>\n<\/ul>\n<h3 style=\"font-weight: 400;\">Siloed Thinking<\/h3>\n<p style=\"font-weight: 400;\">Departments focus on their own tasks, not the end-to-end process. Teams that focus on simply checking boxes instead of owning the outcomes are also a red flag.<\/p>\n<ul>\n<li style=\"font-weight: 400;\"><strong>How to overcome:<\/strong> Use cross-functional workshops to explore value streams and surface handoff or coordination issues.<\/li>\n<\/ul>\n<h3 style=\"font-weight: 400;\">Cultural Resistance<\/h3>\n<p style=\"font-weight: 400;\">Team members engage in groupthink or simply resort to doing things the way they\u2019ve always been done. Employees are reluctant to speak up or challenge the status quo.<\/p>\n<ul>\n<li style=\"font-weight: 400;\"><strong>How to overcome:<\/strong> Build a culture of continuous improvement by encouraging feedback, rewarding suggestions, and involving staff in improvement efforts.<\/li>\n<\/ul>\n<h3 style=\"font-weight: 400;\">Firefighting Mindset<\/h3>\n<p style=\"font-weight: 400;\">Teams are too busy reacting to problems to take a step back and assess the root causes.
